How to Protect Your Online Meetings from Uninvited Guests

When you run online sessions, you want to share meeting links with clients who have booked. A video meeting URL can be forwarded. Meet Gate adds an account and booking check before redirecting to the meeting.

A meeting link does not check bookings

Google Meet, Zoom and Microsoft Teams have their own access controls, including invitations, waiting rooms, passwords and participant settings. They do not automatically check the booking status in Mavify.

Forwarding a meeting URL can let someone attempt to join. Whether they get in depends on the video platform settings. Linking access to a booking adds a useful check alongside the meeting controls.

Video platforms can also restrict access to invited accounts automatically. Meet Gate adds a check they do not perform themselves: whether the account is entitled to this session through a Mavify booking.

Check the account and booking before redirecting

The client receives a link to the Mavify gate. It checks the signed-in account, booking status and access window before sharing the video meeting URL.

This checks the account permissions; it does not establish the identity of the person at the screen. Someone using the client’s login credentials could pass the same check.

Signing in with another account or lacking an eligible booking blocks the redirect through the gate. Meet Gate does not manage the participant list inside Google Meet, Zoom or Teams.

How it works, step by step

1. Client books a session through Mavify

The client selects a session and submits a booking. Depending on your settings, it is confirmed automatically or awaits approval. Meeting access requires an eligible booking status.

A booking awaiting approval does not grant access through Meet Gate.

2. A secure meeting link is generated

With a connected Google account and automatic link creation enabled, Mavify generates a Google Meet URL. For Zoom, Teams or another platform, you can add an HTTPS meeting link. The client uses the Mavify gate link.

3. The gate checks access when clicked

The system checks whether the signed-in account belongs to the booking, the status permits access and the access window is open. If these checks pass, it redirects to the current meeting URL.

What about group sessions?

Each participant using the gate has their own booking and passes an account and permission check. This does not guarantee that only those people can enter the video meeting: access through a copied meeting URL depends on the video platform.

Works with your existing tools

Connect your Google account and enable automatic Google Meet links for online sessions. The gate link remains the client’s access point.

For other platforms, add an HTTPS link in the booking or event panel. Share the Mavify link with the client instead of the direct video meeting URL.

Automatic vs manual mode

Automatic mode creates Google Meet links through your connected Google account. In manual mode, you add a meeting URL such as Zoom or Teams. In both modes, the gate checks the booking before redirecting.

Google Calendar synchronization and meeting link creation are related integration settings. In manual mode, remember to add the meeting URL in Mavify before the session.

Changing the link after booking

You can change the destination URL before the gate window opens. Editing closes about 5 minutes before the session, and you must wait at least 2 minutes between changes.

The gate link in the booking confirmation continues to lead to the current meeting URL. You do not need to send the client a new Mavify link.

Protection limits and interpreting statistics

Meet Gate cannot identify the person using the account. Sharing login credentials can allow another person to pass the booking check.

On Pro, statistics show recorded gate clicks, clients, unique IP addresses and browser configurations, including counts by account. Different IPs or browsers can result from network changes, using a phone and computer, or software updates. They do not prove account sharing or meeting attendance.

After the redirect, the client can see and copy the actual meeting URL. Meet Gate does not invalidate that URL or record visits that bypass the gate. Further access is controlled by the video platform settings.

The gate opens 5 minutes before the session

The gate shares the meeting URL from 5 minutes before the session starts until 60 minutes after it ends. This keeps the gate from revealing it days before the session. For a one-hour session, the full window lasts 2 hours and 5 minutes. After the gate closes, a previously copied video meeting URL may still work, depending on its settings.

Combine Meet Gate with the video platform controls

The gate controls redirects based on the booking. Waiting rooms, invitations and access rules control entry to the video meeting. These layers work at different stages and can complement each other.

Participant admission can be manual or automatic, depending on the platform and settings. Google Meet and Microsoft Teams document these controls. Choose settings appropriate for your session, especially if its URL could be forwarded.
